Welcome to Eventscape. These Terms of Use govern your access to and use of the Eventscape platform. By accessing or using Eventscape, you agree to be bound by these Terms.

1.About Eventscape

Eventscape is an event operations and management platform designed to help organisers manage registrations, submissions, accreditation, accommodation, invoicing, logistics, and operational workflows for events.

Throughout these Terms:

  • “Eventscape”, “we”, “our”, or “us” refers to the platform operator.
  • “User”, “you”, or “your” refers to any individual or organisation using the Platform.
  • “Organiser” refers to an organisation or person managing an event through Eventscape.
  • “Participant” refers to any person submitting information through an Eventscape event form.

2.Eligibility

You may only use the Platform if:

  • you are at least 18 years old or have appropriate legal authority;
  • you have the authority to enter into these Terms on behalf of your organisation (if applicable);
  • your use of the Platform complies with all applicable laws and regulations.

3.Accounts and Access

3.1 Account Responsibility

You are responsible for:

  • maintaining the confidentiality of your account credentials;
  • all activity that occurs under your account;
  • ensuring authorised access only.

You must notify us immediately if you suspect unauthorised access or misuse.

3.2 Account Accuracy

You agree to provide accurate, complete, and up-to-date information when creating an account or submitting event data.

3.3 Suspension or Termination

We reserve the right to suspend or terminate accounts that:

  • violate these Terms;
  • misuse the Platform;
  • create security risks;
  • attempt unauthorised access;
  • engage in unlawful or abusive behaviour.

4.Use of the Platform

You may use Eventscape solely for lawful event management and participation purposes.

You must not:

  • misuse or interfere with the Platform;
  • attempt to access systems or data without authorisation;
  • upload malicious software or harmful content;
  • scrape, reverse engineer, or exploit the Platform;
  • use the Platform for fraudulent or unlawful activities;
  • impersonate another person or organisation.

5.Event Data and Submissions

5.1 Organiser Responsibility

Organisers are responsible for:

  • ensuring they have the legal right to collect participant data;
  • ensuring submitted data is processed lawfully;
  • ensuring participants are informed about how their data will be used.

5.2 Participant Responsibility

Participants are responsible for ensuring that all submitted information is accurate and lawful.

5.3 Submission Integrity

Submitted data may include:

  • personal details;
  • travel information;
  • accommodation selections;
  • uploaded documents and images;
  • accreditation information;
  • payment and invoicing information.

Users acknowledge that Eventscape processes and stores such data solely for event operational purposes.

6.Uploaded Files and Images

Users may upload files, images, or supporting documents through the Platform.

You retain ownership of your uploaded content.

By uploading content, you grant Eventscape a limited licence to:

  • store;
  • process;
  • display;
  • transmit;
  • and use the content solely for providing the Platform services.

You must not upload content that:

  • infringes intellectual property rights;
  • contains malware;
  • is unlawful, abusive, or defamatory;
  • violates privacy rights.

7.Data Storage and Retention

Eventscape stores event-related operational data, including drafts and submissions, in secure infrastructure.

Organisers are responsible for managing their event lifecycle, exports, and retention obligations.

Certain data, events, or submissions may be archived or deleted according to platform retention rules or organiser settings.

While Eventscape implements safeguards and backup measures, users acknowledge that no digital system can guarantee absolute prevention of data loss.

8.Invoicing and Financial Data

The Platform may include invoicing and payment-related functionality.

Organisers are solely responsible for:

  • validating invoice accuracy;
  • ensuring room rates and financial configurations are correct;
  • verifying participant financial information;
  • complying with tax and accounting obligations.

Eventscape is not responsible for incorrect invoice configurations entered by organisers.

9.Intellectual Property

All Platform software, branding, interface design, features, and technology remain the property of Eventscape or its licensors.

You may not:

  • copy;
  • redistribute;
  • modify;
  • reproduce;
  • or commercially exploit the Platform without written permission.

10.Privacy and Data Protection

Use of the Platform is also governed by the Eventscape Privacy Policy.

Eventscape processes personal data in accordance with applicable data protection laws, including GDPR where applicable.

Organisers remain responsible for ensuring lawful collection and use of participant data.

11.Availability and Service Changes

We aim to provide reliable access to the Platform but do not guarantee uninterrupted availability.

We may:

  • modify features;
  • improve functionality;
  • perform maintenance;
  • or discontinue services at any time.

We are not liable for temporary outages, interruptions, or service changes.

12.Third-Party Services

The Platform may integrate with third-party services, including cloud storage, authentication providers, analytics tools, or payment systems.

We are not responsible for third-party services, policies, or outages.

Your use of third-party services may be subject to separate terms.

13.Limitation of Liability

To the maximum extent permitted by law:

  • Eventscape is provided “as is” and “as available”;
  • we do not guarantee that the Platform will be error-free or uninterrupted;
  • we are not liable for indirect, incidental, special, consequential, or punitive damages.

Our total liability arising from your use of the Platform shall not exceed the amount paid by you (if any) for use of the Platform during the previous 12 months.

14.Indemnification

You agree to indemnify and hold harmless Eventscape and its affiliates from any claims, damages, liabilities, losses, or expenses arising from:

  • your misuse of the Platform;
  • your violation of these Terms;
  • your unlawful processing or submission of data;
  • your infringement of third-party rights.

15.Termination

You may stop using the Platform at any time.

We may suspend or terminate access where necessary to:

  • protect the Platform;
  • comply with legal obligations;
  • prevent abuse or security risks.

Certain provisions of these Terms survive termination, including intellectual property, liability limitations, and indemnification.

16.Governing Law

These Terms shall be governed by and interpreted in accordance with the laws of the applicable jurisdiction in which Eventscape operates, without regard to conflict of law principles.

Any disputes arising from these Terms shall be subject to the exclusive jurisdiction of the competent courts within that jurisdiction.

17.Changes to These Terms

We may update these Terms from time to time.

Where material changes are made, we may provide notice through the Platform or by other reasonable means.

Continued use of the Platform after changes take effect constitutes acceptance of the updated Terms.

19.Entire Agreement

These Terms constitute the entire agreement between you and Eventscape regarding use of the Platform and supersede any prior agreements or understandings relating to the Platform.
